A snagging spreadsheet becomes valuable when it helps the team close defects quickly. A long list of issues without ownership, dates or evidence creates activity but not control.
The 10 fields worth including in a snagging tracker
1. Snag reference
Give every snag a unique ID. It makes conversations, photos and close-out evidence easier to reference.
2. Property, plot or area
Be specific enough that an engineer can find the issue without asking where it is.
3. Detailed issue
Write what is wrong and, where useful, what acceptable completion looks like.
4. Trade or package
Electrical, mechanical, roofing, finishes, ventilation and other categories allow the list to be filtered and allocated efficiently.
5. Owner
Every open item needs one person or company responsible for progressing it.
6. Date raised
This gives visibility of ageing and helps identify snags that have been carried for too long.
7. Priority
A simple low, medium, high or critical rating helps the site team deal with safety, access or handover blockers before cosmetic items.
8. Target date
An issue without a target date can remain open indefinitely.
9. Status
Use a small controlled list such as Open, In Progress, Ready to Inspect and Complete. Too many status options usually create confusion.
10. Evidence and close-out notes
Record what was done and where evidence is stored. For photographic close-out, use a consistent naming convention so the image can be matched to the snag reference.
How to make the list easier to manage
Use filters, freeze the header row, keep descriptions concise and review overdue items first. If more than one person updates the file, agree who owns the master copy so there is no version confusion.
Track the trend, not just the total
A project can have 50 snags and still be improving if the close-out rate is high. Conversely, ten old snags can be a serious handover problem. Monitor open items, overdue items and the time taken to close defects.
