Handover problems usually start long before the final week. If evidence is only chased after installation is complete, teams often discover missing photographs, unsigned records or certificates that are harder to recreate later.
Start the handover tracker at mobilisation
Define what will be required before work starts. That gives site teams and subcontractors clear evidence requirements rather than surprising them at completion.
Typical handover sections
Drawings and project information
Track approved drawings, revisions and as-built information where required. Make it clear which documents need client approval and which are simply records.
Electrical certification and test records
Record the relevant certification required by the project and whether it has been received and reviewed. The exact requirements will depend on the installation and contract.
Renewables and ventilation
For projects involving Solar PV, battery, ASHP or ventilation, include the relevant commissioning records, manufacturer information and project-specific certification or notification requirements.
Photographic evidence
Define what photographs are required and how they should be named or stored. If location or date evidence is important to the client, make that requirement clear from the start.
Snag close-out
A project is not ready for handover simply because the installation is physically present. Link the handover status to outstanding snags and final inspections.
Warranties and O&M information
Collect warranty details, manuals and maintenance information while the relevant installer still has the project information to hand.
Use Received and Reviewed separately where useful
A document being uploaded does not automatically mean it is correct. For higher-control projects, record whether information has both been received and checked.
